What is a RowShare Automation workflow?
A workflow in RowShare is a structured sequence of tasks and data management steps designed to streamline processes, ensuring efficient collaboration and clarity. It organizes information within shared tables and automates repetitive actions.
Workflows are typically expressed like: when this happens, then do that. It can involve other applications such as your email, CRM or cloud storage, or stay entirely within RowShare (when this happens in table A, then do that in table B).
What are RowShare workflow capabilities?
A workflow consists of three main components: Triggers, Actions, and optional Steps (e.g., filters, text or math operations).
Triggers
A trigger is the event that can start a workflow (this in the definition above).
RowShare Triggers can be:
- New row added to a table
- Row modified in a table
- Row modified in a specific column
- Row status changed (row statuses: active, locked, archived, deleted)
Actions
An action is what happens after the trigger occurs ("that" in the definition above).
Here is the list of available Actions in RowShare workflows:
- Adding a new row to a table
- Modifying an existing row,
- Assigning a row to a new row owner
- Link a Row to its parent row (see row links)
Additionally, workflows can search for rows:
- by their unique identifier (Row ID)
- by any column value.
